Kiran : Can we collect Donations?
Anthony : Only for 501(c)3 organizations. They have to be at the event, and we can collect it "for them".
Kiran : We could label the donations as a "freebox", and then it wouldn't be donations to anyone in particular... then we just collect the freebox at the end and give it to the charity of our choice.
Anders : We ought to get people with skills (not just larger organizations) to come to the event. We should have a better layout of the tables - the half circle was oppressive. (layout discussion ensues, considers moon, crescent, zig-zag, straight lines, dotted islands, and various other layouts; none is consensed on specifically).
Kiran : What about rain? Do we have an indoor space? (discussion about other venues, the alternative of postponing in the event of rain..)
Spoon : Friends of the USCA could give us a space.. Or various coops?
Ian : Chateau would be hard. We only really have 2 rooms, and they'd be crowded.
Chris : Chateau seems like our best backup.
Kiran : Some groups couldn't come if we postponed, so we might not want to do that. Chateau could work - we could just shove all the furtniture into the smoking room, and use the dining room, council room, and carriage house. It could work.
Ian : Alright, I'll ask council. (Kiran and Anthony will also attend).
Anders : But remember, that (rain) is not going to happen. (turns head sheepishly) but it might happen...
Kiran : Let's make a goal to have flyers brought to the next meeting and passed out. Should we fund copy making? Let's try to get free ones...
Charlie : Let's establish a goal: Each person should bring 100 copies of a flyer (quarters and/or full pages) each. Get them free if possible, pay if necessary, and the BC will reimburse copy costs. (consensus)
Spoon : It might be good to structurally group things so that they don't overlap (i.e., not all the music events in one slot), as people with a specific interest would want to go to all the workshops/tables of that interest. We could do color coding - the blue group, the green group, the yellow group.. then people could easily see where each event of each category would be.
Kiran : Good idea. This would mkae it better.
Ian : We shouldn't segregate it too much, leave people the opportunity to float.
Chris : This would be good in concert with a well layed out program, so that people would be able to easily see when what was happening.
Anders : I want circus folk!
Charlie : We ought to schedule a time ahead of time to layout the program, the banners, etc, once we know who all is coming.
All : DIY Foreplay! Do it the night before. We can advertise it.
Hourly breakdown for the event:
- 10 to Noon: Breakfast.
- Noon to 1: Live music.
- 4:00: Dinner.
- 5:00 to Dusk: More bands.
